Reporting to the Service Support and Spare Parts Manager, the Service Support and Spare Parts Coordinator (SPC) is responsible for the day-to-day operations of the Service and Spare Parts Department, including managing the inventory, shipping, quoting, and invoicing of spare parts and service. The SSSPC follows up to ensure customer satisfaction, handles complaints or questions, and reports these to the Service Support and Spare Parts Manager as necessary.

Responsibilities

  • Organize and coordinate customer service activities to include the processing of work orders, quotes for service, spare parts, and customer purchase orders; ensure parts and tools necessary for service assignments are properly ordered and shipped.
  • Process purchase orders to suppliers to fill customer orders.
  • Invoice customer purchase orders and archive closed purchase and sales orders.
  • Work with project management to track and invoice service orders for projects.
  • Collect and organize all reports, machine data, photos for jobs and place them on the server.
  • Forward all collected and organized machine data to the factory.
  • Conduct regular and spot checks of spare parts, components, and service tools in inventory.
  • Monitor tool inventory and ensure that the proper tools are available and certified.
  • Monitor and document all open service items for all machines and verify that they are performed.
  • Update all machine lists as necessary.
  • Inform customers of Liebherr’s service schedule.
  • Coordinate and support Service personnel who are providing after-hours support.
  • Understand and be familiar with all spare parts related transactions conducted in the ERP system that is required for efficient and effective inventory management.
  • Handles customer complaints reasonably, shows empathy and a positive attitude and demonstrates our commitment to superior customer service.
  • Work with the Shipping, Receiving, and Assembly Department to ensure that timely and accurate receiving and shipping of parts is preserved.
  • Work with the Shipping, Receiving, and Assembly Department to ensure that items stored in the assembly area, are always maintained in a complete and saleable condition.
  • Monitor freight and shipping costs to ensure that they are minimized.
  • The SPC must know about stock-control systems so that they can effectively record and analyze the movement of parts.
  • Promote a safe work environment by ensuring that Service personnel wears PPE as required and follow all established safety policies and procedures and that workspaces are clean and orderly.

Competencies

  • Education and Experience: Associate degree (Bachelor preferred) in a technical field and 1-2 years of related/relevant experience to the role; or 4 years of related experience; or combination of education and experience.
  • Basic knowledge of mechanical, electrical, hydraulic, and pneumatic systems.
  • Excellent communication skills- verbal and written, with good phone skills.
  • Must be able to comprehend, speak and write the English language.
  • Demonstrate initiative to visualize, organize, manage, and complete projects in individual and group settings.
  • Ability to interface with all levels of staff.
  • Ability to work independently and when necessary work as part of a team.
  • Demonstrate ability to handle confidential information.
  • Ability to multi-task while completing work competently and professionally.
  • Demonstrate initiative to maintain productivity.
  • Ability to work in a potentially stressful environment.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, fractions, ratios to practical situations. Ability to apply concepts of basic algebra and geometry.
  • Proficiency in PC-based word processing and spreadsheets, including MS Office/Windows.
  • Proficiency in using the ERP system and other Liebherr applications to manage and sell service and parts.
  • Working overtime and working weekends is required when necessary.
