The Service Administrator (Parts and Warehouse), is responsible for providing support to both customers and Liebherr field technicians in all aspects of the parts and service process, including responding to customer inquiries for parts and processing service orders.

Additionally, the Service Administrator will perform regular invoicing and office administrative tasks including but not limited to logistics, purchasing, shipping arrangements, and customs clearance (import/export).  This role is also responsible for select warehouse functions including warehouse parts inventory management, processing incoming stock and materials, and fulfilling orders from stock.


  • Respond to customer requests for parts and service - provide parts pricing and availability and produce parts and service quotes
  • Prepare purchase orders and process requisitions and purchase orders for supplies and equipment
  • Create, ships and receives all branch transfers
  • Assist with the administration of supplier contracts, vendors and other representatives
  • Work order management including opening and closing of work orders in an accurate manner ensuring all labour, parts, sublet, lubricant, shop supplies, cores and parts credits are accurate and invoicing of work completed per company policies and KPls
  • Confer with staff, users and vendors to discuss defective or unacceptable goods or service and determine corrective action
  • Issue Proforma and final invoices to customers and request purchase orders
  • Prepare regular reports to provide to service and parts management
  • Checks and submits MMS / Form reports to Payroll team
  • Assist with warranty claims administration and shipping
  • Stock handling, parts identification and cataloging parts and assemblies
  • Order, receive, inspect and sort stock purchase orders from factories and distributors depending on business area
  • Input parts and order parts for processing work orders and conduct parts searches to determine availability
  • Create daily status updates of all open work and schedule updates
  • Assist technicians with parts ordering for their assigned jobs
  • Reconcile and approve weekly/monthly logistics, and branch invoices
  • Keep a clean and safe working environment with optimized space utilization in the warehouse
  • Perform inventory controls and keep quality standards high for audits
  • Monitor and investigate inventory discrepancies and adjustments
  • Participate in LCA safety program
  • Liaises with customers and interdepartmentally to ensure correct parts planning and maximum fulfillment of customer order requirements
  • Ad hoc projects as assigned



  • College diploma/certificate preferred in business, office administration or supply chain, working equivalent will be considered
  • 1-2 years minimum supply chain experience required, preference given to experience in warehouse, construction or distributor environment
  • Experience in logistics, purchasing, order processing, invoicing, shipping, customs clearance and data entry is required
  • Strong Computer Skills, Proficient in Microsoft Office Suite - Baan and PowerBi system experience considered an asset
  • Attention to detail and strong organizational skills are a must
  • Customer service oriented with high level of professionalism
