A vacancy has arisen for a 12 month fixed term contract within our After Sales department based in Cannock for an Office & Parts Administrator – 12 month FTC. The role contributes to the success of Liebherr – Great Britain Ltd by providing effective procurement of machine parts.  Consistently delivering effective administrative, customer service and interpersonal skills, the job holder will play a key role in supporting the team’s objectives in line with the vision of the business whilst ensuring outstanding customer service at all times and working within the Company’s key result areas; Business Performance, Customer Focus, People and Teamwork, Leadership.

Your Responsibilities

•    Effectively operates the business systems, including but not limited to the LIDOS system to identify spare parts
•    Accurate data inputting of details onto the system to provide information and pricing to enable effective ordering
•    Communicates regularly to the respective team members any issues concerning parts procurement
•    Works as a member of the team assisting and supporting department colleagues as well as other departments when required
•    Develops and maintains excellent working relationships with internal departments and team members so as to assist in achieving the departments KPIs
•    Assists in establishing communication to customers in respect of any issues or delays in parts requirements
•    Establishes and maintains excellent relationships with both customers and suppliers
•    Responds promptly to internal and external customers, knowing who to approach for additional support and assistance
•    Pro-actively contributes to departmental meetings
•    Suggests ways which will enhance the effectiveness and efficiency of administrative functions, system processes and procedures
•    Manages personal time schedule and productivity
•    Takes the initiative to establish progress with supplier orders and can identify when there is a need to chase or follow up
•    Liaising with customer reference parts
•    Raising of invoices; WO’s; SO’s and purchase orders as required
•    Processing of purchase orders
•    Booking in all parts to the warehouse
•    Processing and dealing with credit notes
•    Controlling of service exchange parts
•    Monitoring competition parts pricing against ours
•    Liaising with factories to chase back orders and any other issues
•    Control of parts returns including warranty parts and rentals
•    Cold calling of customers to enhance sales
•    Operating and maintaining Lidos; LISA; Baan systems
•    NQA audit compliance and assistance as required
•    Operating office equipment, photo copying, sending and receiving faxes
•    Dealing with incoming and outgoing post
•    Answering telephones
•    Maintain effective filing system
•    Inputting timesheets for engineers
•    Control of holiday and sickness forms for engineers and office staff
•    Overseeing of expenses for engineers and obtain manager sign off
•    Dealing with all invoicing – preparing and inputting
•    Adhering to processes and procedures relating to warranties
•    Processes relating to service agreements - new and renewable
•    Any other duty as required by management commensurate with the post

Your Profile

The successful candidate will require the following:
•    GCSE or equivalent passes A-C in English and Mathematics
•    Ability to use own initiative
•    Able to demonstrate ability to work effectively in a pressurised environment.
•    Good communicator at all levels
